# Organization Roles and Access Control in Prophic

> Prophic scopes all data to an organization. Your role controls what you see and do. Learn how Org Admin, Org Member, and custom roles work, and how seat limits vary by plan.

Prophic scopes everything to an active organization. Data does not cross organizations, and your role within the active organization controls which sections and actions you can access. If your role does not have permission to a section, it simply does not appear in your left navigation.

## Organizations

* Service roles, templates, projects, customers, and users are all scoped to the active organization.
* Use the **organization switcher** in the top-left of the screen to change context.
* A person can belong to multiple organizations and hold different roles in each.

## Common roles

Prophic uses organization-level roles, not document-level roles. The two common built-in roles are **Org Admin** and **Org Member**. Administrators can also define custom roles to match their team's needs.

### Org Admin

Org Admins have access to the **Administration** area, which includes:

* **Organization**: org settings and details
* **Users**: team member management
* **Roles**: permission management, including custom roles
* **Subscriptions**: billing and plan management

Org Admins manage the team, define who can do what, and control billing.

### Org Member

Org Members have standard access to the product areas used for daily pre-sales work:

* **Projects area**: Dashboard, Projects, Quick Quotes
* **Customers area**: Customers
* **Configurations area**: Service Roles, Configuration Templates, Quotation Configurations, Proposal Templates, Custom Instructions

Org Members do not see the **Administration** area.

### Custom roles

Administrators can define custom roles from the **Roles** page under **Administration**. Custom roles control which features and areas each user can access, so you can create roles that match your team's structure rather than forcing everyone into Admin or Member.

  Your current role badge appears next to your name in the **profile menu** (top-right). If a section is missing from your left navigation, your role does not have access to it. Contact your Org Admin if you need additional permissions.

## Seat limits by plan

| Plan          | Seats           | Notes                                 |
| ------------- | --------------- | ------------------------------------- |
| Free          | 1 seat included | Single user only                      |
| Prophic Pro   | Up to 4 users   | No additional-seat option             |
| Prophic Teams | Up to 10 users  | Additional seats: \$10 / user / month |
| Enterprise    | Unlimited       | Included in custom agreement          |
