# Prophic FAQ: Credits, Accuracy, Teams, and Proposals

> Answers to the most common questions about how Prophic works — covering estimates, data handling, plans, credits, and proposal export formats.

## Getting Started

  No. The Free plan requires no credit card. You get 40 one-time AI credits, 2 projects, and 5 Quick Quotes — enough to run through the full pipeline on a real brief and see what the output looks like before you commit to anything.

<Accordion title="How long does setup take?">
  Under 10 minutes to configure your workspace and generate your first scope. The core setup steps are: add your service roles and hourly rates, configure or upload a proposal template, and paste in a brief. The AI handles the rest.

<Accordion title="What can I paste in as a brief?">
  Anything — a forwarded client email, an excerpt from a spec document, a bullet list of requirements, or a paragraph of stream-of-consciousness notes. Prophic reads the brief as-is, without any pre-formatting required on your part. The Requirement Analysis stage handles gaps and ambiguity rather than expecting a perfect input.

## Estimates & Accuracy

<Accordion title="How accurate are the estimates?">
  Prophic generates estimates based on your configured service roles, hourly rates, and the complexity values assigned in the Work Breakdown Structure. Accuracy depends on two things: the quality of the brief and how well your complexity calibration reflects your team's real-world velocity.

  The WBS is always editable — treat the AI's first output as a strong starting draft, not a final number. Review task complexity, adjust effort hours where your experience says otherwise, and re-export. The more you use Prophic on real briefs, the better calibrated your rate card and complexity model become.

<Accordion title="What if the AI gets the scope wrong?">
  Every stage is editable. If the Functional Specification misses a feature, add it. If the WBS over-scopes a module, reduce the complexity or remove tasks. If the Summary doesn't reflect the scope correctly, regenerate it after editing the WBS.

  Nothing reaches the client until you export — and you review every stage before that happens. The AI drafts; you decide.

<Accordion title="Does Prophic invent numbers?">
  No. Every hour estimate in the WBS traces back to a service role and a complexity factor (0.00 to 1.00) you can see and edit. Every cost figure traces back to the hourly rate you configured on the project's Configuration Template. There are no hidden multipliers or platform-supplied benchmarks; the numbers come from your own rate card, applied to the task tree the AI built from the brief.

## Data & Privacy

<Accordion title="What happens to the client data I paste in?">
  Client briefs are processed to generate scopes and proposals within your workspace. Data is not used to train AI models or shared with other customers. Your client's requirements stay in your workspace.

<Accordion title="Can multiple team members access the same project?">
  Yes. Every project in an organization is accessible to users based on their role. Org Admins have full access, Org Members can work on Projects, Quick Quotes, Customers, and Configurations, and custom roles created under Administration → Roles let you tailor exactly what each team member can access. ## Plans & Credits

<Accordion title="What counts as a credit?">
  Each AI generation or regeneration of a pipeline stage consumes one credit. Running all five stages of a new brief from scratch uses five credits. Regenerating a single stage after an edit uses one. Editing stage outputs directly — without triggering a regeneration — uses no credits.

<Accordion title="Do unused credits roll over?">
  No. Credits refresh each billing cycle. Unused credits from the previous cycle are not carried over. If you need more credits before the next refresh, add-on credits are available at \$20 per 1,000.

<Accordion title="Can I switch plans mid-cycle?">
  Yes. Upgrades take effect immediately — you get access to the higher plan's credit allotment and seat limit right away. Downgrades take effect at the start of your next billing cycle; you stay on the current plan until then.

<Accordion title="Can I add more credits without upgrading my plan?">
  Yes. Add-on credits are available at \$20 per 1,000 credits on Pro and Teams plans. They're applied to your account immediately and count toward the current billing cycle. See [Plans & Billing](/plans-and-billing) for the full breakdown.

## Proposals

<Accordion title="What format is the proposal?">
  From the Summary stage, click **Generate Proposal** and choose **PDF or DOCX**. Both formats are generated from your configured Proposal Template with your logo, branding, and customer details. If you have not uploaded a custom template, Prophic uses the built-in default.

<Accordion title="Do I need to change how my team works?">
  No. Prophic fits into your existing pre-sales workflow. Configure your rates and proposal template once, then use it whenever a new brief arrives. There's no new process to adopt — you're replacing the manual scoping and formatting work, not restructuring how you sell.

<Accordion title="Can I use my own proposal template?">
  Yes. Upload a custom template under **Configurations → Proposal Templates**. Prophic populates it with the scope, WBS summary, cost breakdown, and customer details from your project. If you work across different client types or verticals, you can maintain multiple templates and select one at generation time.
