Proposal Templates control the branding and structure of the final proposal Prophic generates from the Summary stage. Templates support PDF and DOCX output; variables in the template pull the customer’s address, contact persons, project details, and pipeline outputs at generation time.

Where to find them

Open Configurations in the left navigation, then select Proposal Templates.

What a template controls

  • Logo and brand colors: visual identity applied to every generated proposal.
  • Section order: the sequence of proposal sections (executive summary, scope, estimate, terms, etc.).
  • Intro and outro copy: standard language you want included in every proposal.
  • Standard terms: legal or commercial terms appended to the document.
  • Variable placeholders: dynamic fields that resolve to customer info from the CRM and pipeline data from the project.

Create or upload a template

Open Configurations, then Proposal Templates.

Click New Template.

Name the template.

Upload your PDF or DOCX layout, or configure the built-in options.

Save the template.

Select a template at proposal generation

From the Summary stage of a project, click Generate Proposal, choose PDF or DOCX, and select the template you want. Prophic renders the proposal with your branding and pipeline data in a single step.

Variables and customer data

Prophic pulls Primary Address and Contact Persons from the customer record attached to the project. Configure these fields on the customer in the Customers section so the template’s variables resolve correctly at generation time.
Custom Proposal Templates are included on Pro, Teams, and Enterprise plans.
